The National Gallery of Victoria (NGV) is seeking a Fundraising Administration Assistant who will be responsible for coordinating administrative operations and database activities for the Fundraising team while ensuring accuracy, attention to detail and a high level of customer service at all times.

ABOUT THE POSITION:

This position will support the Senior Fundraising Administration Officer in the day-to-day operations of the Fundraising team with particular focus on efficient and accurate processing of donations. Other key responsibilities include:

  • Undertaking tasks through the CRM database, Tessitura, on a daily basis, including processing donations and other payments in a timely manner and with high levels of accuracy

  • Acting as a point of contact for the Fundraising team, providing customer service for external calls and queries in a professional manner and delivered with a high level of professionalism.

  • Providing support to the Assistant Director, Fundraising and Events and senior Fundraising staff in relation to day-to-day activities including managing diaries, monitoring correspondence and drafting communications, compiling notes and distributing minutes, coordinating meetings and related hospitality.

  • Assisting the Fundraising team with support for the delivery of stakeholder functions at the NGV, such as coordinating invitations, collating guest lists, managing RSVPs, generating lists from Tessitura, preparing speech notes, producing name labels, place cards and menus. 

To be successful, you will have previous experience in providing high quality administrative support and experience in liaising with high profile stakeholders. You can prepare letters, emails and reports using clear, concise and grammatically correct language, organise information in a logical sequence and include content appropriate for the purpose and audience. You also have an ability to handle highly sensitive and confidential information and material paired with excellent interpersonal skills, with an emphasis on tact and discretion.

You can use a wide range of software application features for word processing, spreadsheets, etc and can assist others with problem-solving on word processing and related applications. You can establish and maintain relationships with people at all levels, forges useful partnerships with people across business areas, functions and organisations, builds trust through consistent actions, values and communications.
