The National Gallery of Victoria (NGV) is seeking a Media and Public Affairs Assistant for providing publicity and administrative support across the activities of the Media and Public Affairs team.

ABOUT THE POSITION:

You will be responsible for providing publicity support to the NGV media team on NGV publicity campaigns, including creation of media releases, media kit materials, media list invitations, talent research, strategic media send outs and monitoring of media inbox. Other key responsibilities include:

  • Co-ordinating photography and filming for exhibitions, programs and artist profiles, as required and coordinating and managing logistics photography and filming requests across internal departments and external press requests.
  • Under the guidance of the Senior Publicist, preparing copy for NGV promotional material; preparing and disseminating images and relevant captions and descriptions of exhibitions and programs to media.
  • Completing daily media clippings reporting and coordinating with the NGV’s media monitoring service provider to ensure timely delivery in line with agreed daily service is provided as per contract agreement.
  • Providing administrative support to the Media and Public Affairs team, including but not limited to processing invoices, organising and coordinating media travel, managing office supplies, printing and mailing of media materials, and fielding incoming and outgoing correspondence and updating and researching media contacts databases.

To be successful, you will have relevant tertiary qualification coupled with some experience in the fields of media, communications, public relations or a related field.

You can prepare basic letters, emails, reports and media releases using clear, concise and grammatically correct language, organise information in a logical sequence and include content appropriate for the purpose and audience. You use a polite and considerate manner when dealing with others, clearly explain information and listen to feedback. You regularly plan, track progress, support the team in the time management of tasks, observe fine details and identify gaps in information. You are enthusiastic and committed and demonstrate capacity for sustained effort. You have a flexible approach in regard to hours of work.
